Privacy Policy
This policy explains what information Flagout VR collects when you use this website or book a session, why we collect it, and the choices you have.
Who we are
Flagout VR (a Flagout company) (“Flagout VR”, “we”, “us”), previously trading as VR Kenya, rents virtual reality headsets and runs supervised VR sessions for schools, private events and businesses in Kenya. We are the data controller for the information described here. You can reach us on WhatsApp at 0114 878 115.
Information we collect
Information you give us
- Booking requests: your name, phone or WhatsApp number, the date you would like, the type of session (school or gaming/event), your group size and any notes you add.
- Contact form and WhatsApp messages: your name, email address or phone number, and the content of your message.
- Bookings we deliver: the venue address, the name of the organisation or host, and details needed to run the session safely (for example the age range of participants).
Information collected automatically
- Analytics: if Google Analytics is enabled we receive aggregated usage data — pages viewed, approximate location, device and browser type — via cookies set by Google. IP addresses are anonymised by Google Analytics 4.
- Server logs: our hosting provider records standard technical data (IP address, time, requested page) for security and reliability.
How we use it
- To respond to your enquiry and confirm, plan and deliver your booking.
- To send you quotes, confirmations, reminders and any changes about a session you have requested.
- To keep participants safe — for example tailoring the experiences to the age group you tell us about.
- To understand how the website is used so we can improve it.
- To meet our legal and accounting obligations.
We do not sell personal information and we do not use it for third-party advertising.
Our “Chat with us” buttons open WhatsApp with a pre-filled message. Anything you send is processed by WhatsApp (Meta Platforms) under its own privacy policy as well as ours. If you would rather not use WhatsApp, the contact form or a phone call work just as well.
Who we share it with
- Service providers who help us run the website and forms (hosting, form delivery, analytics) — only what they need to do that job.
- The host or organisation that made a group booking, where you are attending as a participant.
- Authorities, if the law requires it.
Cookies
The site itself sets no marketing cookies. Google Analytics, when enabled, sets first-party cookies (for example _ga) to distinguish visitors. You can block these with your browser settings or the Google Analytics opt-out add-on without affecting the site.
How long we keep it
Enquiries we do not go on to book are deleted within 12 months. Booking records are kept for as long as needed to run the session and meet accounting requirements (currently seven years under Kenyan tax law), then deleted or anonymised.
Your rights
Under the Data Protection Act, 2019 you can ask us to confirm what personal data we hold about you, correct it, delete it, or stop using it for a particular purpose. Message us on WhatsApp or through the contact page and we will respond within 14 days. You may also complain to the Office of the Data Protection Commissioner.
Children
Many of our sessions involve learners under 18. We collect information about them only through the responsible adult — a teacher, parent or event host — and only what is needed to run the session safely. We never contact children directly.
Changes
We will update this page whenever our practices change and revise the date at the top. Significant changes will be flagged on the site.
