Terms of Service
These terms cover bookings, on-site sessions and equipment hire from Flagout VR. By requesting a booking you agree to them.
1. Bookings and confirmation
- A request sent through the website or WhatsApp is not a confirmed booking. Your date is secured only when we have confirmed availability in writing (WhatsApp counts) and received the agreed deposit.
- Availability shown on the Book Now calendar is a guide; we confirm every date personally before it is final.
- Quotes are valid for 7 days unless we say otherwise.
2. Payment
- A deposit (stated in your quote) secures the date. The balance is due on or before the day of the session.
- Prices include delivery, set-up, a guide and the agreed equipment within our service area. Travel outside it is quoted separately.
3. Changes and cancellations
- Tell us as early as possible if plans change. We will move a booking to another open date free of charge where we can.
- Cancellations with more than 7 days’ notice receive a full refund of the deposit; with 48 hours to 7 days’ notice the deposit is held as credit for a future date; with less than 48 hours’ notice the deposit is retained.
- If we have to cancel — for example because of equipment failure or unsafe conditions — you receive a full refund or a new date, your choice.
4. On the day
- You provide a suitable indoor or sheltered space (roughly 2 × 2 metres per active headset), a power outlet and, for school sessions, a teacher present throughout.
- Our guide runs a short safety briefing before anyone plays. Participants must follow the guide’s instructions at all times.
- We may pause or end a session if participants behave in a way that risks injury or damage; no refund is due in that case.
5. Health and safety
- Meta recommends its headsets for ages 10 and up. Younger participants may only take part with our agreement and adult supervision.
- VR is not suitable for everyone. Anyone who is pregnant, has a heart condition, epilepsy or a history of seizures, or feels unwell should not use the headsets. Stop immediately if you feel dizzy, nauseous or disoriented.
- We limit continuous play, enforce breaks and clean headsets and face covers between users.
6. Equipment care and damage
- Headsets, controllers and accessories remain the property of Flagout VR at all times.
- You are responsible for loss or damage to equipment caused by participants or guests beyond normal wear, up to the replacement cost of the item. Our guide will record any incident with you on the day.
- Equipment must not be removed from the venue or used without our guide present, unless a separate hire agreement says otherwise.
7. Content
We choose age-appropriate experiences with you in advance. Some titles carry their own age ratings (for example horror games rated for adults); we will not run those for under-age groups even if requested.
8. Photos and video
We sometimes photograph sessions for our website and social media. We will always ask the host or teacher first and will not publish identifiable images of children without written consent from a parent or guardian.
9. Liability
We take reasonable care to run every session safely, and nothing in these terms limits liability for death or personal injury caused by our negligence. Beyond that, our total liability for any booking is limited to the amount you paid for it. We are not liable for indirect losses such as lost enjoyment, profit or reputation.
10. General
